Q: How does QuoteWerks integrate with D&H, Ingram Micro, SYNNEX, and Tech Data?

QuoteWerks Professional and Corporate Edition can access product and pricing information from IT Industry distributors D&H, Ingram Micro, SYNNEX, and Tech Data.

Specialized integration was written for these distributors based on customer demand and because they provide product and pricing data in an industry standard database format or a text file format. Tech Data provides their data in a database format. Ingram Micro, D&H and SYNNEX provide their data in a text file format.

Since Tech Data provides their data in a database format, QuoteWerks can link directly these databases eliminating the time consuming process of importing over 300,000 products into a database. If you had to import the product data from Tech Data, importing all of that data would take about 25 minutes, and the import would need to be run every time updated data was received (which could be daily).

Since D&H, Ingram Micro, and SYNNEX provide their data in a text file format, D&H, Ingram Micro, and SYNNEX data needs to be imported every time. Currently it takes about 17 minutes to import the SYNNEX product data.

When these pricing databases first were introduced they where a vast improvement over the old paper price guide. That being said, the next hurdle was the fact that there was no unified way to find products and compare pricing in all of their databases. It was a very time consuming process to search for products using each of the distributor’s different pricing applications or websites. You would have to revert back to writing down the part numbers and cross-referencing them.

Then, we introduced QuoteWerks. QuoteWerks can access all of the distributor product databases at the same time, AND pull the product and pricing information into to your quote quickly and easily, where the data can be easily manipulated at presented to your customer in a professional format.

If you purchase from a distributor other than D& H, Ingram Micro, SYNNEX, or Tech Data, and that distributor provides you with product/pricing information in a database or text file format, you can still import that information into QuoteWerks.

A: QuoteWerks Paste Special feature
The Paste Special feature enables you to accept data from the Windows clipboard and use it to retrieve products and services from a QuoteWerks product source and add them to the quote. This feature can be useful for integrating with external configuration software such as Cisco and Hewlett Packard configuration software which only output a list of part numbers with no descriptions or prices. It also works on part number lists copied from websites or text files. QuoteWerks can take the list of part numbers and retrieve the description and pricing information for each part from the product databases linked to QuoteWerks. The result of the Paste Special is the automatic creation of a quote complete with pricing.

A: Tech Data website shopping cart Importer
Using the free "Tech Data Shopping Cart Importer" Applet and the Tech Data website shopping cart export feature, the items in the Tech Data shopping cart can be imported into a QuoteWerks quote.

Price file download offering
D&H provides a text file containing product and pricing information available upon request.  Once setup, this file can be downloaded from their website.  If you have questions regarding this offering you can call D&H at 800-877-1200.

Real-time Pricing & Availability offering
D&H has a real-time pricing and availability service that can be accessed by D&H customers. The D&H Real-Time Pricing & Availability works with the USA division of D&H. Before you can setup and use the D&H Real-Time Pricing & Availability features you need to obtain a real-time pricing and availability User ID and Password from D&H.

You may already have a User ID and Password with D&H. The real-time pricing and availability credentials are the same that you use to log into the D&H website to search for products and pricing. Usually when a D&H customers signs up as a customer they complete the ‘Electronic Commerce User Agreement” and receive an ID and Password at that time.

If you do not have a User ID and Password to log into the D&H website you will need to contact D&H to request it. To do this, you can go to www.dandh.com , and on the left hand side select ‘Online Forms’, and then choose ‘Electronic Commerce User Agreement”. You can then fax or email it in to D&H.

D&H strongly suggests that you create a new user login ID dedicated to XML Pricing & Availability requests. To do this, log in to www.dandh.com and go to the Account Admin tab, and choose “Add, change or delete usercodes”.

FTP Price file download offering
Ingram Micro also offers to customers an option to download product and price information that is based on your FTP login ID, so the prices you download are the prices for your specific account. The FTP download file is updated daily (before noon each day). The FTP file can also contain more detailed information about the products. Additionally, the FTP file can contain government pricing for products whereas the Electronic Price Guide pricing does not. If you download your product and pricing information from Ingram Micro through this FTP price file, then you will instead need to import this product information into one of the QuoteWerks native product databases using the Product Import Wizard.  Product imports can be automated to occur unattended outside of business hours.

Ingram Micro also provides an “updates” only file which is available on their FTP site. This file only contains a list of products and prices that have changed recently. After you have imported the full list of products (once a month), you can then download the “updates” file on a daily basis and use that to update the QuoteWerks native product database containing the Ingram Micro product data. Importing daily updates will take much less time than re-importing the entire list of all Ingram Micros products on a daily basis.

Real-time Pricing & Availability offering
Ingram Micro has a real-time pricing and availability service that can be accessed by Ingram Micro customers.  The Ingram Micro Real-Time Pricing & Availability works with USA, Canadian, Belgium, France, and United Kingdom divisions of Ingram Micro. Before you can setup and use the Ingram Micro Real-Time Pricing & Availability features you need to obtain a real-time pricing and availability User ID and Password from Ingram Micro.

The real-time pricing and availability credentials are NOT the same ID and Password that you use to log into the Ingram Micro website to search for products and pricing.

If you do not have a real-time User ID and you will need to contact Ingram Micro to request it. For more details, you can call the Ingram Micro Electronic Commerce Support number at 800-616-4665 (press 1 for existing customer, and then press 2 for help with IDs and Passwords, then ask for the XML group).

QuoteWerks integration
QuoteWerks can be setup to import the Ingram Micro price file (available on the Ingram Micro FTP site) into a QuoteWerks product database.  The automation of the downloading of the file and the importing into the QuoteWerks product database can all be automated using Windows Scheduler and QuoteWerks command line options.  With the optional QuoteWerks Real-time Data Module Ingram Micro real-time pricing & availability is also available in QuoteWerks so the current Ingram Micro pricing & availability is always at your fingertips.

"Flat File" price file FTP download offering
SYNNEX provides a text file (known by SYNNEX as a “Flat File”) containing product and pricing information. This file is available for download from the SYNNEX FTP server. This file is updated daily with currently product, pricing, and availability information. The prices in this file are specific to your SYNNEX account. This file is not available to all SYNNEX customers by default. If you are not already setup to receive this file, you need to contact SYNNEX to request that SYNNEX start creating this text file for you and to request the login credentials for the SYNNEX FTP server that will host your text file. SYNNEX processes all FTP Flat File setup requests on Fridays, and it takes SYNNEX about 3 business days before your file is ready for you to start downloading it. QuoteWerks imports the SYNNEX price file making it available for QuoteWerks to use. Simply select the SYNNEX price file and QuoteWerks does the rest. QuoteWerks also creates a folder tree to display all the SYNNEX product categories, subcategories, and manufacturers making it easier to find the product you are looking for.  With the optional QuoteWerks Real-time Data Module the SYNNEX price file can be automatically retrieved from the SYNNEX FTP server so you don't have to manually do that.  With the Real-time Data Module SYNNEX real-time pricing & availability is also available in QuoteWerks so the current SYNNEX pricing & availability is always at your fingertips.    The SYNNEX real-time pricing and availability works with both the USA and Canadian divisions of SYNNEX.  The automation of the downloading of the FTP file and the importing can all be automated using Windows Scheduler and QuoteWerks command line options.

PRODCOD Product Data Files offering
Tech Data provides their product and pricing information in a DBF database known as ‘PRODCOD’. QuoteWerks can link directly to this database once it has been downloaded. Because it is already in database format, QuoteWerks can link to it thereby skipping the need to perform a lengthy import process. This database file is updated daily. The pricing in this file is specific to your account, however manufacturer special rebate pricing (such as "Cisco Gold VAR" pricing) that you may have uniquely qualified for will not be reflected in this file. This file contains all products that Tech Data sells including products that require authorization to sell (even if you do not have authorization to sell those products). ‘PRODCOD’ can be downloaded from the Tech Data website. You need to have an ID and Password to retrieve this file from the Tech Data website. If you do not already have an ID and Password for their website, you can request one by calling their ‘Electronic Commerce Support’ number at 1-800-222-7926.

PRODLIST Product Text File
Tech Data also provides the same information found in the 'PRODCOD' Data Files in a text file format called 'PRODLIST'. 'PRODLIST' can be downloaded in the same place as the 'PRODCOD' files. The benefit of using the 'PRODLIST' text file is that you can import the data into a QuoteWerks native product database. Once the data is in the QuoteWerks product database, it is possible to update that existing data with changes to description, price, cost, etc whereas with 'PRODCOD' it is read-only.

If you download your product and pricing information from in the 'PRODLIST' format, you will instead need to import this product information into one of the QuoteWerks native product databases using the Product Import Wizard instead of linking to the 'PRODCOD' files. Product imports can be automated to occur unattended outside of business hours.

FTP Price file download
For select Tech Data customers, Tech Data also provides a text file that can be downloaded from their FTP site. Typically the customer must do around $2.5M in annual sales to qualify for the FTP price file. An FTP file is not automatically available to you. You must first contact Tech Data 'Electronic Commerce Support' at 1-800-222-7926 and request the file be prepared for you. Since this file is specifically prepared for you, you can request which of the 300,000 plus products that Tech Data carries are included in the file. If you only sell some of those products, you can request that the FTP file only contains items or manufacturer’s line that you sell. The file will not contain any products that you are unauthorized to sell. The pricing in this file is specific to your account, and includes manufacturer special rebate pricing (such as "Cisco Gold VAR" pricing) that you may have uniquely qualified for.

Real-time Pricing & Availability offering
Tech Data has a real-time pricing and availability service that can be accessed by Tech Data customers.  The Tech Data real-time pricing and availability works with the USA, Canadian, and UK (Computer 2000) divisions of Tech Data.

USA and Canadian Customers
Before you can setup and use the Tech Data Real-Time Pricing & Availability features, you must first obtain, complete, sign, and return the Tech Data XML Trading Partner Agreement. You can download this agreement from the Tech Data website. To download this agreement, you need to first log into the Tech Data website using your Tech Data ID and Password that you already use to log into the Tech Data website. If you do not have a User ID and Password to log into the Tech Data website, please contact Tech Data Electronic Services support at 1-800-222-7926.

Once you have logged into the Tech Data website, paste the following URL into your web browser to download the agreement:

In the Tech Data trading agreement document, you will need to supply Tech Data with a registered static ip address. Tech Data requires this for security reasons. You will also need to create a specific XML user ID to use when retrieving the real-time data. The document will explain these requirements. Once you complete the document and submit it to Tech Data, it may take up to a week for Tech Data to activate your real-time XML data account. When you fax the document to Tech Data, please make sure to include on the cover page that you will be using QuoteWerks to integrate with the Tech Data XML data. If you do not, Tech Data will assume that you are starting to develop your own XML integration solution, and will activate your account for testing only. Specifying that you are using QuoteWerks will let them know that you are ready to use live data.

UK (Computer 2000) Customers
To have access to Real-Time Pricing for Tech Data UK (Computer 2000), you must meet a spend threshold of £10K per quarter. If you meet this criteria, you require an authorization code to activate Real-Time pricing which can be obtained from Tech Data UK's (Computer 2000) e-Business Team. Your Computer 2000 representative will be able to assist you with this alternatively you can email the e-Business Team directly with your request at E-Business@computer2000.co.uk.

Once Tech Data has activated your XML real-time data account you will be ready to setup the QuoteWerks Real-Time Pricing and Availability feature.

Electronic ordering offering
Tech Data has an online ordering service that can be accessed by Tech Data customers.  The QuoteWerks Online Ordering Module uses this service to submit orders electronically with Tech Data.
